This Privacy Policy describes how BookedUp ("we," "us," or "our") collects, uses, stores, and protects information when you use our AI-powered operations suite (the "Service"). We take data privacy seriously and are committed to protecting both our clients' business data and their customers' personal information.

1. Information we collect

We collect the following categories of information:

• Client business information: Business name, owner name, address, phone number, email, business hours, service types, and operational preferences.
• Client customer information: Names, phone numbers, email addresses, service history, booking records, and communication preferences of your customers, as provided by you.
• Communication records: Content and metadata of automated messages (SMS, email) sent and received through the Service.
• Usage data: Dashboard access logs, feature usage, and system performance data.
• Payment information: Processed exclusively by Stripe. We do not store credit card numbers, bank account numbers, or other sensitive payment data on our systems.

2. How we use information

We use collected information solely for the following purposes:

• To provide, operate, and improve the Service for your business.
• To send automated communications (appointment reminders, follow-ups, re-engagement messages) on your behalf to your customers.
• To generate business analytics, reports, and performance metrics for your dashboard.
• To provide customer support and respond to your inquiries.
• To improve our systems using anonymized, aggregated data that cannot identify your business or your customers.

3. Information sharing

We do not sell, rent, or trade any personal information or business data to third parties. We share information only in the following limited circumstances:

• Service providers: We use third-party services to deliver the Service, including Twilio (SMS delivery), Stripe (payment processing), and cloud hosting providers. These providers process data only as necessary to perform their services and are bound by their own privacy policies.
• Legal requirements: We may disclose information if required by law, subpoena, court order, or governmental regulation.
• Business protection: We may disclose information to protect the rights, property, or safety of BookedUp, our clients, or others.

4. Data storage and security

We implement reasonable technical and organizational measures to protect data, including:

• Client data is stored in isolated, per-client databases. Your data is never commingled with another client's data.
• All data in transit is encrypted using SSL/TLS encryption.
• Access to client data is restricted to authorized BookedUp personnel only.
• We do not store credit card numbers, bank account information, Social Security numbers, or other highly sensitive personal identifiers.

While we implement commercially reasonable security measures, no system is 100% secure. We cannot guarantee absolute security of data stored on our systems.

5. Data retention

We retain client data for the duration of the service relationship plus 60 days. After cancellation:

• You may request an export of all your data within 30 days of cancellation.
• All client data, including customer records and communication logs, is permanently deleted 60 days after service termination.
• Anonymized, aggregated data that cannot identify your business or customers may be retained indefinitely for service improvement purposes.

6. Your customers' rights

Your customers may contact you directly to:

• Opt out of receiving automated messages from your business.
• Request information about what data your business holds about them.
• Request deletion of their personal information from your records.

As the data controller for your customers' information, you are responsible for responding to these requests. We will assist you in fulfilling them through the Service.

7. Your rights as a client

As a BookedUp client, you have the right to:

• Access all data stored in your BookedUp system at any time through your dashboard.
• Export your data in a standard format upon request.
• Request deletion of your account and all associated data.
• Be notified of any data breach affecting your information within 72 hours of discovery.

8. Cookies and tracking

The BookedUp website (getbookedup.io) does not use tracking cookies, advertising pixels, or third-party analytics tools. The client dashboard stores a theme preference (light/dark mode) in your browser's local storage for your convenience. No personal information is stored in your browser.

9. Children's privacy

The Service is designed for business use and is not directed at individuals under the age of 18. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to active clients via email at least 30 days before they take effect. The "Last updated" date at the top of this policy indicates the most recent revision.
